Four layouts, from a weekly register to a visitor sign in book

Each one prints on a single A4 sheet, with your title, logo and company at the top and rows to the foot of the page.

  • Weekly site register

One line per person for the week, with time on and time off under each day. Suits a regular crew on a long job.

  • Daily site sign in sheet

A fresh line for each arrival, with time in, time out and a signature for each. A new sheet every morning.

  • Visitor sign in book

Who they are visiting, why, the badge they were given and whether they had an induction. Keep it at the gate or the cabin.

  • Induction and attendance register

Trade, CSCS card number and expiry, and a signature to say the induction was given. Doubles as an attendance register.

What a site sign in sheet should record

The law sets no layout for a site register. These are the jobs it does on a UK site.

  • Who is on site

The principal contractor must take the necessary steps to keep unauthorised people off the site. A register shows who was let in, and when.

    CDM 2015, regulation 13(4)
  • Who has been inducted

The same regulation says the principal contractor must make sure a suitable site induction is given. A tick or a signature against each name records it.

    CDM 2015, regulation 13(4)
  • Who to count after an evacuation

HSE’s fire guidance asks how the site will confirm that everyone has reached the assembly point, for example by checking off against site security logs brought there.

HSE, Fire safety in construction (HSG168), paragraph 308
  • Only what you need

Data protection law says to collect only the personal data you need. Name, company and times usually cover it. Leave home postcode off unless your principal contractor requires it.

    ICO, data minimisation

Paper register or signing in by phone

A paper attendance register works anywhere. Signing in by phone saves reading handwriting at the roll call. Plenty of sites keep both.

Paper sheet

  • Works with no signal and no phone
  • Nothing to set up. Print a sheet and leave a pen
  • Names can be hard to read, and the sheet has to reach the assembly point

Site Register

  • People scan one QR code and sign in on their own phone
  • Who is on site now, on your phone, for the roll call
  • The day’s sheet as PDF or CSV, with signatures if you ask for them

Questions

Is it free?

Yes. There is no account and no email to give. The files are made in your browser.

Can I change it after downloading?

Yes. The Excel and Word files open with the same title, boxes and columns, ready to edit. Excel is set to print one page wide with the heading rows on every page.

Is my logo uploaded?

No. It is read and resized on this device and goes only into the files you download. The last design, logo included, is kept in this browser for next time.

How many rows fit on a sheet?

It depends on the row height. In landscape, 14 roomy rows or 23 compact ones. In portrait, up to 37. The rows always run to the foot of the page.

Should the sheet ask for a home postcode?

Only if your principal contractor requires it. It is personal data, so it stays off until you tick it.

Weekly or daily sheet?

A weekly sheet suits a regular crew: one line each, filled in all week. A daily sheet suits a site with visitors and deliveries, where every arrival takes a new line.

Can people sign in on their phones instead?

Yes, with the free Site Register: one QR code at the gate, no account for the people signing in.
