Three site diary formats, from a daily page to a weekly labour return
Each one prints on a single A4 sheet, with your title, logo and company at the top and lines to the foot of the page.
Daily site diary
One page a day: labour by trade, plant, work carried out, deliveries, visitors, instructions, delays and accidents, signed at the foot. Add tomorrow’s plan if you need it.
Weekly site diary
A block for each day of the week, with the work done, the weather, who was on site and any delays. Suits a small job or a short week.
Weekly labour return
Each trade and company down the side, the number on site each day across the top, and the week’s total. Many main contractors ask for one weekly.
What to write in a site diary
No law sets a format for a site diary. Write it on the day, in plain words, and keep it with the job’s records.
Who was on site
Trades, companies and numbers each day. CDM 2015 says the principal contractor must plan, manage and monitor the construction phase, and a dated record of who did the work is a plain way to show it.
CDM 2015, regulation 13Weather, delays and instructions
Write them on the day, with times. The SCL Delay and Disruption Protocol starts from agreeing the programme and the records to keep, because a delay is argued later from what was written then.
SCL Delay and Disruption ProtocolAccidents and near misses
Note what happened and who was involved the same day. Some injuries and dangerous occurrences must also be reported to HSE under RIDDOR, and the diary helps you find the details.
HSE, RIDDORDeliveries and visitors
The time, the supplier and the ticket number for each delivery, and who visited and why. A short line each settles most questions about what arrived and who saw what.
Paper site diary or a site diary app
A paper diary works anywhere. A diary on the phone is easier to send and to search. Plenty of site managers keep both.
Paper sheet
- Works with no signal and no phone
- Nothing to set up. Print a pad and keep it in the cabin
- Handwriting is hard to search, and the book stays on site
Site Diary
- Photograph a paper diary page and it fills in the day, for you to check
- No signal? The day keeps saving on the phone, and the PDF can still be made
- Sends the day as a PDF report, with the email text ready to paste
Site diary questions
Is it free?
Yes. There is no account and no email to give. The files are made in your browser.
Can I change it after downloading?
Yes. The Excel and Word files open with the same title, boxes and sections, ready to edit. As downloaded, each prints on one A4 page.
Is my logo uploaded?
No. It is read and resized on this device and goes only into the files you download. The last design, logo included, is kept in this browser for next time.
Daily or weekly site diary?
A daily page suits a busy site, where each day needs room for labour, deliveries and delays. A weekly diary suits a small job, with a few lines a day.
Can I change the sections?
Yes. Rename any section, set how many lines it has, move it, leave it out or add your own. Work carried out takes whatever room is left.
Do I have to keep a site diary?
No law names a site diary. Where there is a principal contractor, CDM 2015 regulation 13 says they must plan, manage and monitor the construction phase. A dated record of each day is a plain way to show it.
Can I keep the diary on my phone instead?
Yes, with the free Site Diary. It works without an account, and a photo of a paper page can be read into the day.
