Construction site register format
No law sets a format. If you use a register for site inductions and a fire roll call, these columns do the job.
Name and company
Shows who was let in. The principal contractor must take the necessary steps to keep unauthorised people off the site.
CDM 2015, regulation 13(4)Time in and time out
Gives you the people to count after an evacuation. HSE’s fire guidance gives checking off against site security logs brought to the assembly point as one way to confirm everyone is there.
HSE, Fire safety in construction (HSG168), paragraph 308Visiting and badge number
Shows who a visitor came to see and which badge is still out. HSE says a visitor’s induction should fit the visit, and an escorted visitor needs the main hazards and controls.
HSE, Managing health and safety in construction (L153), paragraph 134Induction date and signature
The principal contractor must make sure a suitable site induction is given, and a contractor gives it where the principal contractor has not. The law does not ask for a record of it. A date and a signature show it was done.
CDM 2015, regulation 15(9)Only what you need
Data protection law says to collect only the personal data you need. These examples write shown once a card has been seen, not its number.
ICO, data minimisation
Two ways to keep your register
- Works with no signal and no phone
- Nothing to set up. Print a sheet and leave a pen
- Names can be hard to read, and the sheet has to reach the assembly point
By phone with Site Register
- People scan one QR code and sign in on their own phone
- Who is on site now, on your phone, for the roll call
- The day’s sheet as PDF or CSV, with signatures if you ask for them
Site register example questions
Are these real jobs?
No. Every job, company and person here is made up. Both sheets are for the same job, so the names agree.
Does the law say I need a site register?
No law names one or sets a format. CDM 2015 asks for a site induction and for steps to keep unauthorised people off the site, and a register helps you show who was inducted and who was let in.
Should visitors sign in?
Yes, if you use the sheet to count people after an evacuation. Anyone missing from it is missing from the count.
What is the difference between the two sheets?
The sign-in sheet says who was on site that day. The induction register says who has been inducted on the job, and each person goes on it once.
Can I use one as it is?
No. Write in the people on your site. Use an example to see what goes in each column.
Excel, Word or PDF?
PDF to read or print. Word or Excel to change the page.
Where is the blank?
On the construction site register template, with your logo and columns.
